Data Administrator

The Data Administrator is responsible for managing the collection, entry, integrity, consistency, quality and output of the data stored in the School’s Management Information System (currently WCBS PASS/3Sys/Parent Portal). Working closely with the office staff and IT department, the postholder is predominantly responsible for the data associated with the academic and administrative activities of the school. 

Key Duties and Responsibilities: 

  •  Responsible to the IT Director and working closely with the Administrative Team, Marketing & Admissions Department, and Academic Head teachers and staff, the main duties of the Data Administrator include, but are not limited to: Database Administration: 
  •  Manage and maintain the integrity of all academic-related data in PASS. This includes the creation and maintenance of all pupil, staff and parent records, including alumni, as appropriate. 
  •  Collate and export PASS information ready for use in other systems within the school using, but not limited to, Microsoft Excel and ODBC.
  •  Create custom reports using PASS report builder tools, for the export of academic reports to parents and as required by SLT/support staff managers. Academic Data Management: Working closely with the Director of Education, manage the integrity of data for the creation of the new academic year data set and associated processes. 
  •  Collate and import data relating to subject choices for Senior School pupils. 
  •  Disseminate information to Heads of Department and allocate students to subject sets. Oversee the population of new teaching sets and timetables according to the school timetable. 
  •  Liaise with the Admissions Department to add details of new pupils/remove leavers to/from the database. Transfer final year pupils/leaver pupils into “Past Pupils”. 
  •  Manage the integrity of the data relevant to the School Reports process for all academic departments
  •  Liaise with the IT Department to request and input pupil usernames and email addresses into PASS. 
  •  Assist the IT Team with managing data in other systems such as GSuite and other platforms as directed by the IT Director. 
  •  Liaise with the Finance/HR department as regards maintaining contact and staff records within PASS
  •  Liaise with First Aid and the Office as regards maintaining pupil records, including medical information. 


  •  Manage and maintain the integrity of all data for Parent Portal, Groupcall, Parents’ Evening System and other integrated systems. 
  •  Oversee change of details requests from Parent Portal. Administer user accounts on Parent Portal including account activation and maintenance. 

External Exams: 

  •  Work closely with the Director of Education 
  •  Assist with collation and analysis of External Exams results for SLT. 
  •  Work closely with the External Exams Coordinator to acquire knowledge of the external exams process – submissions, unit deadlines, entries etc, in order to be able to provide support if and when required. 
  • Other: Act as first line of support for staff on use of PASS/3Sys/Parent Portal and troubleshoot issues where required, in conjunction with the IT Team. 
  •  Work closely with the Data Protection Officer to ensure compliance with GDPR regulations for use, storage and archiving of all types of data, school-wide. 
  •  Maintain appropriate level of documentation and training for staff responsible for data administration, 
  •  Ensure regular checking, cleansing and purging of data to ensure accuracy and compliance with data protection guidelines, in particular, GDPR. 
  •  Work with the IT Team and will be responsible to perform basic user-support duties for 3SYS  and SChool Portal Support requests.
  •  Responsible for staff training to ensure all staff are equipped to use the system effectively 

Skills and Attributes Required: 

  •  Previous experience of database administration. 
  •  Experience of using WCBS PASS (or equivalent system such as iSAMS or SEEMIS) is preferred but training will be given. Previous experience of working in a similar role in a School or Local Authority environment.
  •  Full proficiency in Microsoft Excel (Intermediate to Advanced level) is essential. A systematic thinker with proven analytical and problem solving skills. 
  •  Excellent communication skills – the role will require communication with colleagues at all levels, as well as parents and external providers/agencies. 
  •  Ability to work well, independently and as part of a team. 
  •  Excellent attention to detail. 
  •  Ability to work to deadlines and under pressure. 
  •  Skills/experience with SQL and/or other reporting tools would be advantageous, but are not required.

System Administrator

We are looking to hire a skilled Windows Systems Administrator to manage and maintain our Windows systems and server network. In this role, you will be responsible for installing, upgrading and maintaining Windows-based systems and servers, managing user access to the servers, and assisting with maintaining the security and stability of the network.

You will be an integral part of our IT support team assisting with all IT related tasks and systems.

Windows Administrator Responsibilities:

  • Assessing the stability, security, and scalability of installed Windows systems.
  • Discussing system and server upgrades with the IT Director.
  • Installing or upgrading Windows systems and servers.
  • Troubleshooting system and server errors.
  • Reviewing system error logs and user-reported errors.
  • Monitoring and updating servers and Windows computers.
  • Managing user access.
  • Monitoring system performance.
  • Maintaining server architecture security
  • Creating system backups.
  • Ensure Antivirus software is up to date.
  • Providing technical support for staff and back-end system users as part of the IT support team.


  • Microsoft Certified Systems Administrator Qualification (MCSE)
  • Proven work experience as a Windows Administrator.
  • Detailed knowledge of Windows server setup, deployment, and maintenance.
  • Experience with databases, patch management, and networks including LAN and WAN.
  • Familiarity with modern operating systems and server platforms.
  • Knowledge of network security systems, intrusion detection systems, and data backup.
  • Good problem-solving skills.
  • Good technical skills
  • Good analytical and communication skills.
  • Must be a team player and be customer focused

IT Support Technician

We are looking for an IT Technician who is passionate about resolving IT problems.

The ideal candidate should have an in-depth knowledge of computer software and hardware and hands-on experience with a different variety of internet applications, networks and operating systems. 

IT Technician duties and responsibilities

  • Installation of PC hardware 
  • Check and maintain computer hardware  
  • Install, configure and manage software and their functions according to specifications
  • Assist with network support and maintenance 
  • Ensure security and privacy of networks and computer systems
  • Assist in and plan training, development and education for new software and hardware
  • Manage Helpdesk support requests
  • Troubleshoot to identify and resolve problems in a timely manner
  • Maintain records/logs of repairs and fixes on the Helpdesk system
  • Maintain hardware and software inventory
  • Maintain expenses
  • Identify computer or network equipment shortages and inform the IT Director when necessary
  • Assist with any IT related tasks required as part of the IT support team

IT Technician requirements

  • Previous working experience as IT Technician
